Position Summary Information

Primary Purpose
Under the general supervision of the Associate Dean of Clinical Services, supports and contributes to the clinic mission statement by managing the clinic operations and group practices staff.

Essential Functions
  • Manage group practice operations and procedures; actively seek out and drive process improvement, automation, and cost-efficient initiatives related to clinic operations; develop reports as needed to facilitate clinical operations.
  • Maximize patient satisfaction by managing and resolving patient concerns; ensure patients are seen on a timely and efficient basis; provide proposals and recommendations for process improvement and change.
  • Coordinate efficient and timely patient intake process to include patient registration, radiology, emergency, and screening; coordinate patient flow with CARE clinic staff as needed; collaborate with the Insurance Manager and Radiology Manager to ensure efficient clinic operations.
  • Investigate matters relating to the administration of clinical services or their committees as assigned by the Associate Dean of Clinical Affairs or other clinical administrators; submit investigative findings with recommendations.
  • Manage patient intake, group practice coordinator and receptionist staff in all group practice areas; coach, lead, and mentor staff; manage work performance to include training, work distribution, performance appraisals, adherence to clinic policies and procedures, work schedule and commendation or disciplinary procedures; conduct regular staff meetings.
  • Manage internal and external student rotation scheduling.
  • Coordinate state and regional licensure boards with school calendar; organize staff and prepare for onsite examinations; provide general information to outside candidates.
  • Serve as a clinic liaison with administration, faculty, staff, and internal and external auditors.
  • Create and supervise customer service training programs for students and clinical staff.
  • Actively engage cultural competency initiatives within the Dental School.
  • Perform all other duties as assigned by the Associate Dean of Clinical Affairs.
Minimum Qualifications
Knowledge of:
  • Principles of management and supervision.
  • Accounting/billing procedures.
  • Principles of business communication, including interpersonal interactions, and letter and report writing.
  • Microsoft Excel, Word and Access.

Experience:
  • Minimum of five years office management experience.
  • Previous supervisory experience required.

Education:
  • High school diploma or equivalent.

Working Conditions:
  • The position is full-time, 8 hours per day, 5 days per week.
Preferred Qualifications
Knowledge of:
  • Clinical database systems desirable; axiUm software helpful.
  • Dental terminology and treatment, equipment, and supplies desirable.

Ability to:
  • Communicate effectively and professionally with a diverse population of students,
  • residents, staff, faculty and patients.
  • Produce professional and concise reports and written correspondence.
  • Analyze financial reports and make appropriate recommendations.
  • Exercise autonomous judgment and discretion with sensitive/confidential information.
  • Maintain confidentiality of information
  • Work independently with minimal supervision.
  • Provide effective leadership, training, and supervision.
  • Demonstrate professional judgment in all situations.
  • Effectively manage projects and deadlines.

Education:
  • Bachelor’s degree in Business Administration or related field desirable.
  • Distinguishing Characteristics:
  • Bilingual skills helpful.

Other:
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

  • Work performed is primarily office/administrative with frequent use of computer

Hiring Range $84,497.25 - $132,025.55 per year. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate’s qualifications, internal equity, as well as market and organizational considerations when extending an offer.
