BASIC PURPOSE

The position of Administrative Assistant for Director of Donor Relations will be responsible for providing clerical and administrative support to the Director of Donor Relations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Provide administrative support for Director of Donor Relations.
  2. Word processing and typing of letters memos, reports, and other documents required by the Director of Donor Relations.
  3. Take and transcribe general dictation by voice or tape. Input by keyboard data processing information and maintain data processing files.
  4. Handle the Development section telephone and route calls to appropriate development personnel. Answer general inquiries regarding Development and Donor Relations.
  5. Maintain the Development section files.
  6. Track and enter all required Metrics information into the Metrics Lead and Gift Report and submit it to the Lead DGP quarterly.
  7. Assemble approximately 2,000 Life Income gift illustrations twice yearly and oversee their mailing to assigned donors.
  8. Manage and implement the Donor Relations calendar.
  9. Issue, and create as necessary, professional correspondence with minimal supervision ensuring all gift acknowledgements are mailed within five working days of receipt of the gift.
  10. Ensure all office equipment functions efficiently and printers are stocked with paper.
  11. Maintain all office supplies ordering; as necessary to ensure adequate stock at all times.
  12. Respond to telephone calls in an efficient and professional manner, addressing or re-directing the calls as necessary.
  13. Undertake special assignments / projects as allocated by the Director of Donor Relations.

KNOWLEDGE, SKILLS, ABILITIES AND OTHER QUALIFICATIONS REQUIREMENTS

To perform this job successfully, an individual must be able to perform each essential duty with or without accommodation. The requirements listed below are representative of the knowledge, skill and/or ability required.

  1. Some knowledge of Non-Profit development operations would be helpful.
  2. Typing proficiency of no less than 35 words per minute.
  3. Ability to deal with flexibility in daily assignments.
  4. Must be energetic, enthusiastic, friendly, and efficient with a desire to support the overall success of the team.
  5. Must demonstrate good judgment, act, and dress in a professional manner.
  6. Must be able to work with minimal supervision, be prepared to encounter a variety of assignments and timelines and maintain confidentiality of sensitive materials and information.
  7. Must be able to take instruction and be able to manage change.
  8. Must possess excellent written and oral communication skills and be able to draft and edit professional level communications.
  9. Must be proficient in computer programs such as Microsoft Office (including Word, Excel, PowerPoint and Publisher) and Outlook electronic mail.
  10. Must have organizational skills including multi-tasking, time-management, and office systems (including maintaining files).
  11. Must have some familiarity with the purpose and goals of The Salvation Army, and the Mission, Values and Vision Statements for the Development Department.
  12. Must have the ability to competently speak and write the English language.
  13. Must be able to work with a team.

EDUCATIONAL/EXPERIENCE:

  1. High school diploma required; some college preferred.
  2. A minimum of two years' experience in business/office administrative support

PHYSICAL REQUIREMENTS:

  1. Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis.
  2. Ability to grasp, push, and/or pull objects.
  3. Ability to reach overhead.
  4. Ability to operate telephone.
  5. Ability to lift to 25 lbs.
  6. Ability to operate a computer.
  7. Ability to process written, visual, and/or verbal information.
  8. Ability to operate basic office equipment and tools PC, Fax Machine, Telephone, Calculator, Copier, Printer
  9. Miscellaneous office equipment including but not limited to staplers, three-hole punch, etc.
